Privacy Policy

Introduction

Welcome to kategos. We value your privacy and want to be transparent about how we collect, use, and process your data. This Privacy Policy applies to our website (kategos.ai) and our AI chat assistant (kategos Intelligence).

1. Information We Collect

We collect information you provide directly to us:

  • Contact and inquiry data — name, email, phone, company, and any message you submit through our contact form, the gated white-paper download form, or the inline contact form inside kategos Intelligence.
  • AI chat inputs — the prompts and text you submit to kategos Intelligence.
  • Device and usage data — IP address, browser type, operating system, referring URL, and the pages you view. This data is collected by our hosting platform (Vercel) and used for standard server logs, rate limiting, and security.

2. Cookies and Tracking

We use essential, first-party storage plus a small set of privacy-focused analytics tools to understand site traffic and improve the experience. We do not use these for advertising, we do not sell your data, and we do not use Meta Pixel or other advertising trackers.

  • Admin session cookie — set only when our internal team signs in to the CMS at /admin. Visitors to the public site do not receive this cookie.
  • Browser localStorage — after your first white-paper download, we store your name, email, and phone in your browser (key: kategos.lead-v1) so you do not need to re-enter them for subsequent downloads. This value lives in your browser only; our servers never read it. Clearing site data in your browser removes it.
  • Google Analytics— aggregate traffic measurement (pages viewed, referrer, approximate location) via Google’s first-party cookies, used only to understand how the site is used in aggregate.
  • Microsoft Clarity — anonymized usage analytics from Microsoft, including heatmaps and session replays that show how pages are used. Clarity masks text you type by default; we use it to find and fix usability issues.

If we add advertising trackers or new categories of third-party tools in the future, we will update this policy and provide a consent mechanism before activating them.

3. How We Use Your Information

  • Operating the site and the AI assistant. Server logs, rate limiting, abuse prevention.
  • Generating chat replies. When you ask kategos Intelligence a question, the text is sent to Voyage AI (to find the most relevant passages in our published content) and OpenAI (to write the reply using only those passages). We do not train any model — ours or otherwise — on your chat inputs. Voyage and OpenAI do not train on API inputs under their default API terms.
  • Responding to inquiries. If you submit a contact form or download form, we store your details so we can follow up.
  • Internal notifications. New inquiries trigger a notification email to our team via Resend.

4. Third-Party Data Processors

Your data may be processed by the following service providers:

  • Supabase — Postgres database and S3-compatible storage for all site content and lead records.
  • Vercel — hosting, edge functions, server logs.
  • Voyage AI — generates embeddings for chat retrieval.
  • OpenAI — generates the chat reply from retrieved passages.
  • Resend — delivers internal notification emails to our team about new inquiries.
  • Google Analytics (Google) — aggregate website traffic measurement.
  • Microsoft Clarity (Microsoft) — anonymized usage analytics, heatmaps, and session replays.

We do not use MongoDB or Meta Pixel.

5. Your Rights and Choices

  • Access. Email legal@kategos.ai to request a copy of the data we hold about you.
  • Deletion. Email the same address to request removal of your record. We will action this within 30 days.
  • Analytics opt-out.You can opt out of Google Analytics with Google’s opt-out browser add-on, and Microsoft Clarity honours browser Do-Not-Track and Global Privacy Control (GPC) signals. Clearing your browser's site data removes stored identifiers.

6. Data Retention

We retain inquiry data (name, email, phone, message, the chat question that prompted you to contact us) for as long as you remain an active prospect or customer, or until you request deletion. Anonymous server logs are kept by Vercel for up to 90 days under their standard retention.

7. Children

Our Services are not directed at children under 18, and we do not knowingly collect data from anyone under 18.

8. International Transfers

Our infrastructure is hosted in the United States (Vercel and Supabase regions). By using our Services, you consent to your data being processed in the United States.

9. Changes to this Policy

We may update this policy from time to time. Material changes will be announced at least 30 days in advance via a notice on the website. The “Effective date” at the top reflects the most recent revision.
